Create contact groups and use bulk actions
Segment visible CRM contacts, add selected rows to a group, and use campaign or rate-alert actions without confusing drafts with delivery.
Before you start
- Have contacts in Contact CRM and a linked MLO context for group operations.
- Decide whether you are grouping the current filtered list or a smaller manual selection.
- For campaign enrollment, have an active or draft non-consumer campaign available and email addresses for the contacts you want enrolled.
Step by step
Create a group
In the Groups sidebar, select the plus control or “New Group.” Enter “Group Name,” choose a color, and select “Create Group.” The page confirms “Group created!”
Filter before selecting
Use search, type, stage, overdue, MLO, or an existing group to make the intended contacts visible. Use each row’s checkbox or the header checkbox to select all currently displayed rows.
Add selected contacts to a group
When the bulk bar shows “N selected,” select “Add to Group.” Choose “Existing Group” and a group, or choose “New Group” and enter its name. Select “Add to Group.” The page confirms which group received the contacts.
Enroll selected contacts when eligible
Select “Enroll in Campaign,” choose a listed active or draft non-consumer campaign, and select the button labeled “Enroll N Contacts.” The result reports enrolled contacts and can identify contacts skipped for no email, prior enrollment, or access.
Draft a rate alert without sending it
Select “Draft Rate Alert,” choose a contact under “Preview for,” and select “Generate AI Draft.” Review the message, then use “Log Drafts for N Contacts” if you want an activity recorded for each selected contact. Copy the draft to your own approved email or calling workflow.
Export the selection if needed
Select “Export CSV” in the bulk bar to download the selected contacts. The top-level “Export” control remains available when no row selection is intended.
Check your work
- The group appears in the sidebar with its member count.
- The confirmation states “Contacts added to …” after a group membership action.
- The bulk result states how many contacts enrolled or were skipped.
- A logged rate alert appears as an activity and the confirmation says it was drafted and logged.
Troubleshooting
The bulk action bar does not appear.
Select at least one visible row checkbox. If the list is filtered to zero rows, clear or adjust the filters first.
No groups are available.
Create a group from the Groups sidebar. If the sidebar still has no MLO context, confirm that the MLO profile is linked and that the selected company or MLO scope is correct.
A campaign is not offered for bulk enrollment.
Only active or draft non-consumer campaigns are listed for this bulk flow. Consumer campaigns require individual marketing consent and are intentionally not offered here; contacts without email are skipped.
The rate alert did not reach the contact.
That is expected for this action: it generates and logs a draft only. Copy the reviewed draft and send it through your approved email or phone workflow.
Important limits
- Groups and bulk actions follow the current MLO/company scope; an Admin can choose context, while an MLO should not expect another MLO’s groups.
- “Draft Rate Alert” and “Log Drafts” do not send email. Campaign enrollment is not a delivery guarantee and depends on the configured email provider and campaign status.
- AI-generated outreach is a draft. Review it for accuracy, consent, and applicable communication requirements before using it.
