Add, import, and export contacts
Maintain Contact CRM records one at a time or in a CSV/vCard batch, then export the currently visible contact set.
Before you start
- Be signed in with a linked MLO workspace, or be an Admin or Company admin who can choose an MLO.
- For import, have a .vcf or .csv file, or CSV text with a name column that can be mapped to First Name.
- Use only contact information you are authorized to store and export.
Step by step
Open Contact CRM
Select “Contact CRM” as an admin or “My Contacts” as an MLO. Use the search, type, stage, MLO, group, and follow-up filters to narrow the visible list when needed.
Add one contact
Select “Add Contact.” “First Name” is required. Add any available Last Name, Email, Phone, Company, Loan Amount, Type, Stage, Next Follow-Up Date, Source, and Notes. Admins also choose “Assign to MLO *.” Select “Add Contact.”
Import a file or pasted CSV
Select “Import,” choose the target MLO when that field is shown, then use “Choose File (vCard .vcf or spreadsheet .csv)” or paste data under “Or Paste CSV Text.” The importer supports vCard and CSV; map CSV columns to First Name, Last Name, Email, Phone, Company, and Notes.
Preview and import
Review the detected rows and mapping. Keep a First Name mapping for each row you want retained, then select “Import N Contacts.” A batch is limited to 2,000 contacts. The page returns to the list and shows “N contacts imported!”
Export the visible contacts
Apply the desired search, filters, or group first. Select “Export” at the top, or select individual rows and use “Export CSV” in the bulk action bar. With a selection, only selected visible contacts are exported; without one, the displayed set is exported. The confirmation says “Exported N contacts.”
Check your work
- A new record appears in Contact CRM after “Contact added!” appears.
- Imported rows are visible after “N contacts imported!” appears.
- A CSV download starts and the page shows the exported contact count.
Troubleshooting
The import preview is empty or fewer rows are retained than expected.
Check that the file is .vcf or .csv, that CSV headers are mapped, and that each row has a value mapped to First Name. Remove blank rows and preview again.
The import action is disabled.
Choose a target MLO when the selector is shown and provide a file or nonblank CSV text with at least one detected row. An MLO must have a linked profile for a scoped import.
The export count is not the total contact count.
Clear search, type, stage, MLO, group, and overdue filters if you intend to export the full visible scope. Also clear row selection if you do not intend to export only selected rows.
Important limits
- An MLO’s view is scoped to that MLO’s contacts; a Company admin’s view is scoped to the company. Do not use an unexpectedly small list as proof that records were deleted.
- CRM import and export do not enroll contacts in a campaign or send messages.
- Handle downloaded CSV files as sensitive business data and share them only through approved channels.
