Handle original documents, human review, and submission snapshots
Use an enrolled file's detail page to upload original evidence, record manual acceptance, create a current submission snapshot, and record a separate supervisor or MLO file review.
Before you start
- Open an enrolled file from Active Files and have access to its scoped detail page.
- Use a named active workspace role with access to the file. Manual document review requires an active MLO, supervisor, or processor membership; the controlled file-review endpoint requires an active supervisor or MLO. Lender or LOS handoff has separate authority checks.
- Have the original document file, its document type, review evidence reference, and review notes ready.
Step by step
Open Original documents
On the file detail page, locate the Original documents panel. The panel displays existing document metadata and the upload controls.
Upload an original
Choose a file, select a document type from w2, pay_stub, bank_statement, tax_return_1040, tax_return_1099, photo_id, purchase_agreement, or other, then select Upload original. The controlled upload accepts PDF, JPEG, PNG, or TIFF.
Wait for storage completion
Confirm the document row reports stored and offers Download. A pending or unavailable row is not a stored original and cannot satisfy the accepted-original requirement.
Record manual document acceptance
For a stored document, optionally enter Manual review notes (optional), then choose Accept or Reject. Repeat for each stored original that belongs in the controlled file.
Create the current submission snapshot
When the current file inputs are ready and the header shows Record submission, select it and confirm the action. The server records the application and document metadata snapshot with the file revision, input hash, reason, and idempotency key.
Record the controlled file review
In Supervisor / MLO file review, choose Accepted or Correction required, enter Review evidence reference and Review notes, and select Record file review. This is intentionally separate from manual original-document acceptance.
Check readiness and history
Read the readiness tiles: Open conditions, Current submission, Accepted file review, Lender handoff, and Conditions cleared. Then use Operations history to verify the Submissions, File reviews, and Audit entries.
Check your work
- Each intended original shows stored and accepted, with review notes when supplied.
- Operations history contains a current submission at a file revision and a separate accepted or correction-required file review.
- Readiness shows Current submission and Accepted file review as Yes when the recorded evidence matches the current input snapshot.
Troubleshooting
Download is not available or the document is pending.
Wait for the controlled upload to complete and refresh the document list. Only a stored original can be downloaded or manually reviewed.
Accepted file review returns a current submitted snapshot error.
Record submission after the current documents and application inputs are final, then record the file review. The review endpoint requires a submission whose input hash matches the current controlled inputs.
The review action says all stored original documents require manual acceptance.
Review every stored original in Original documents and choose Accept or Reject. Replace or correct any rejected evidence, then create a new current submission snapshot before attempting Accepted again.
An action says the file revision is stale.
Refresh the file detail page and re-read the current revision before saving. Another file, document, condition, handoff, or review change may have advanced the revision.
A document uploaded by the borrower appears unavailable in the brokerage panel.
The brokerage API lists historic borrower documents as unavailable unless they have been linked to a stored brokerage original. Upload the controlled original through Original documents rather than treating historic metadata as a downloadable source.
Important limits
- AI analysis is a draft input and is stored with the file review as aiDraft; it is not human acceptance, lender clearance, or a final underwriting decision.
- A submission is an immutable snapshot of controlled inputs, not a live sync to an LOS. Changing a controlled input creates a new revision and can invalidate a prior review.
- The handoff panel explicitly records lender/LOS coordination only; it does not invoke an LOS or lock a rate.
- Do not upload credentials, access tokens, or unrelated personal files. Keep Download links scoped to the authorized workspace and assigned file.
